Description

The General Manager (GM) position at SCMR is a demanding position that requires mastery of all the various duties of all the various positions at SCMR. It is necessary to be able to perform these duties in order that this knowledge can be developed in others and so that the GM can recognize areas of potential growth for staff members. A successful GM will be excellent at managing human resources on a day-to-day basis and will be highly competent at handling both customer service issues and client expectations.

Primary Duties

  • Understand the cyclical flow of business demands and prepare staff and equipment to handle high demand periods and maintain high efficiency during low demand periods.
  • Hire staff to meet the demands of the business.
  • Develop staff to perform their duties at a highly competent level in order to meet the high expectation of quality at SCMR.
  • Control and maintain high labor efficiencies.
  • Create schedules.
  • Prepare monthly client statements.
  • Maintain proper levels of materials for all divisions.
  • Address all top level customer service issues.

Description

Over time the Assistant General Manager (AGM) will be trained to perform all duties within SCMR and should become competent in all areas the GM controls. The AGM may be given certain duties to specialize in, such as management of housekeeping staff, creating schedules, or client services. The AGM will also be tasked on special projects.

Primary Duties

  • Function as the General Manager when the GM is unavailable.
  • Consult with GM and SCMR ownership as needed with issues that arise on a day-to-day basis.
  • Perform General Manager related duties as directed by the GM or SCMR ownership.
  • Perform Office Manager duties when the OM is unavailable.
  • Augment all office staff functions as business demands dictate.

Description

The Office Manager (OM) is the leader of the office staff. On a day-to-day basis, the OM performs all the duties of the Vacation Planners, but in addition to these duties, the OM is the first person that is consulted when there is an issue in the office to be resolved. This includes customer service issues, reservation issues, and addressing client needs. Additionally, the OM must be aware of the office environment and ensure that all tools needed for the office are in good working order and supplies are stocked.

Primary Duties

  • Manage office operations and solve internal and customer service issues as they arise.
  • Consult with AGM, GM and SCMR ownership as needed with issues that arise on a day-to-day basis.
  • Address all minor and moderate level guest/client issues.
  • Task other office staff members on projects.
  • Ensure office computers and equipment are in good working order and that backup procedures are in place in case of equipment failure.
  • Ensure all office supplies are stocked.
  • Ensure guest keys are properly made and in a timely fashion.
  • Ensure that the “Daily Checklist” is completed.
  • Train office staff to follow procedures and, more importantly, to properly think through the handling of issues as they arise.
  • Ensure communication with housekeepers, maintenance, and laundry personnel is clear, concise, and useful.

Description

A Senior Vacation Planner (SVP) is experienced with and able to handle the daily stresses of answering a wide variety of questions and dealing with guest issues. A great deal of time is spent on returning emails, answering phones and helping guests who walk into the office. An SVP is a leader who the other Vacation Planners look to as a first among peers. An SVP may be asked to work on special projects and train new Vacation Planners.

Primary Duties

  • Answer guest inquiries by phone, email and in person.
  • Take reservations and assist guests in making good decisions that fit their needs, and assist those same guests during and after their stays.
  • Input data of guest information and create maintenance orders.
  • Assign staff to go out into the field to assist guests.
  • Assist the Office Manager in monitoring housekeeping progress each day.
  • Assist the Office Manager in maintaining office readiness.
  • Make keys for guests.

Excellent troubleshooting skills for common issues that arise are important. These include audio-video issues, plumbing issues, minor electrical issues, minor carpentry, furniture and fixture repair. Carpet cleaning and preventative maintenance are performed during the off season, as well as major and minor projects that are requested by clients. Typically an hour per shift is spent inputting data regarding services performed. This process is critical as it is the mechanism that is used to track work progress, labor efficiency, and billing to clients. SCMR relies heavily on technology to assist the maintenance department to communicate well and operate at peak efficiency. Therefore, having a good aptitude and familiarity with computer systems is important.

Primary Duties

  • Troubleshoot appliance, audio-video and heating malfunctions.
  • Coordinate with HOA managers for repairs that may overlap with SCMR duties.
  • Maintain door locks.
  • Perform and/or oversee special projects such as interior painting, flooring replacement, appliance replacement, furniture replacement, and audio-video repair/replacement.

Description

Many of the tedious bookkeeping processes are automated by the software that SCMR uses. However, it is always important that a professional review the books weekly for errors and inaccuracies. The preparation of owners statements and payments to vendors are time sensitive, which require focus and the ability to meet strict deadlines.

  • Maintain books including accounts payable and accounts receivable.
  • Properly account for charges and expenses to clients and to vendors.
  • Input data into Quickbooks and Escapia property management software.
  • Complete payroll.
  • Pay taxes due in a timely manner.

Description

The Marketing Manager (MM) works closely with the SCMR ownership to implement existing marketing strategies and experiment with new marketing strategies. The MM must be creative and able to focus on details to finish projects. A great deal of time is spent working with marketing partners to constantly improve existing marketing and keep it up to date.

  • Maintain Vacation Rental Website Content (e.g., photos and descriptions).
